The Kew Society Membership Terms and Conditions

These are the terms and conditions applicable to members of the Kew Society (‘Terms’). In these Terms, ‘you/r’, ‘the member’ refers to the named member (cardholder) of the Kew Society (or applicant for such status), and ‘we’ and ‘us’ refers to the Kew Society. By purchasing a membership, you agree to adhere to these Terms.

  1. Your membership benefits

1.1 As a member of the Kew Society, you are entitled to the following benefits:

  1. Priority booking and/or discounts for a range of events
  2. Exclusive access to members-only events.
  3. Latest news and updates direct by email, in addition to regular Newsletter.

1.4 The Kew Society may, from time to time, review the range of benefits on offer to you and reserves the right to change/alter membership benefits and entry rights. We will communicate these changes to our members in advance via our member communications – including the Newsletter, and on our website at www.kewsociety.org.

  1. How to apply for membership

2.1 You can purchase a membership online at www.kewsociety.org/become-a-member/, or by contacting the Membership Secretary at membership@kewsociety.org.

2.2 Once you have purchased your membership, you are able to enjoy your membership benefits.

  1. Membership term, renewal, and termination

3.1 Your membership is valid for an initial term of 12 months from the date of purchase or activation

of a gift voucher, as applicable. We will always write to you approximately one month before your membership is due to expire, detailing the expiry date of your current membership and the following terms apply regarding renewal of your membership:

3.1.1 If your membership is paid by Direct Debit we will automatically renew your membership by another term of 12 months and collect the money for the new term by Direct Debit unless you notify us that you do not wish to renew your membership either via email at membership@kewsociety.org, or in writing to our registered office, 13 Ruskin Ave, Richmond TW9 4DR.

We must receive your notice by the date specified in your renewal email. Failure to give notice may result in the Direct Debit being claimed.

3.1.2 If you paid for your membership by any other method, the renewal email will state what actions you need to take to renew your membership.

3.2 Once your membership has been renewed and payment has been collected, you will not be

eligible to receive a refund on your membership, unless the payment was taken in error.

3.3 If you move address and/or change your email address, it is your responsibility to contact us to update your contact details. If we are not updated on your contact details and we write to your old address to notify of your membership renewal, this is not our error. If your renewal fee is collected in this instance, you are not eligible for a refund.

  1. Your identity

4.1 On entry to our events, we reserve the right to ask for proof of identity.

  1. Your right to cancel – new memberships

5.1 If you purchase your membership online at www.kewsociety.org, you have the right to cancel your membership order and receive a full refund without giving a reason within 14 days of the date you purchased the membership. To cancel your membership, you must contact the Membership Secretary at membership@kewsociety.org or in writing to our registered office, 13 Ruskin Ave, Richmond TW9 4DR.

5.2 To meet the cancellation deadline, you will need to send notice of your intention to cancel within 14 days of the date you purchased the membership.

5.3 Other than in the circumstances described above, your annual membership is non-refundable. If you choose to cancel your membership part way through the year of your membership, no part refund is available.

  1. Members’ events

6.1 Members are occasionally entitled to benefits (i.e.: discounts or priority booking) for certain events. These benefits are subject to change and will vary according to the specific event.

6.2 Members can also book tickets for exclusive members-only events.

6.3 We reserve the right to invite non-members to members-only events, at the discretion of the Committee.

6.4 Events are advertised on our website: www.kewsociety.org and promoted through our regular Newsletters, with members-only only events being advertised though direct emailing of members.

  1. Rejection or termination of membership

7.1 The Kew Society reserves the right to terminate membership without refunding the membership fee or a portion thereof in the following circumstances:

  • On notification of the death of a member;
  • On receipt of a written or verbal notification to cancel by the member;
  • If payment of the membership has not been received within 60 days of the due date; or
  • By discretion of the Committee if an individual’s conduct is deemed to be inappropriate.

7.2 Inappropriate conduct includes but is not restricted to:

  • Continued breach of Membership Terms & Conditions;
  • Giving your identity to a non-member for them to gain the benefits of membership;
  • Using your membership for commercial purposes or commercial gain including but not limited to: guest access to non-members; or using your membership, or allowing for your membership to be used, to undertake activities with any third party organisation or business.
  • Threatening or abusive behaviour towards any person(s) at one of our events; or
  • Theft of, as well as damaging or threatening to damage any of the collections or property of the Kew Society.
  1. Keeping in touch – how we will communicate with you

8.1 We will contact you by email in relation to your membership administration, including informing you when it is about to renew. In addition, as part of your membership benefits, you will receive our regular Newsletter up to 3 times a year and information (via post or email) about how to optimise your membership such as early bird tickets for events and invitations to members-only events.

  1. Further conditions

9.1 We reserve the right to change these Terms at any time. We will communicate these changes and the date when they will come into force to you in advance.

9.2 These Terms and any dispute or claim arising out of or in connection with it (including non-contractual disputes or claims) shall be governed by and construed in accordance with, English law and the parties irrevocably submit to the exclusive jurisdiction of the courts of England and Wales.
